Who is responsible for your personal information
Tailored Building Solutions is the data controller for the personal information described in this notice. We provide roofing, building, renovation and property maintenance services across South Wales.

What personal information we collect
This is a simple brochure website. The only personal information we ask for is what you choose to give us through the enquiry form, by telephone or by email. Through the enquiry form we collect:
- your name
- your email address
- your telephone number
- your postcode or area
- the service you are enquiring about
- the details you write in your enquiry message
Please only include information in your message that is relevant to your enquiry. We do not ask for special category information (such as health information) and you should not send it to us.
How we collect it
We collect this information directly from you — when you complete the enquiry form on this website, call us, or send us an email. We do not buy personal information from third parties and we do not collect it from social media or other public sources.
Why we use it
We use your information for one purpose only: to deal with your enquiry. In practice that means contacting you to discuss the work, arranging a visit or survey where needed, preparing and sending a quotation, and carrying out and administering any work you go on to ask us to do.
We do not add enquiry details to marketing mailing lists, and we do not use them for advertising, profiling or automated decision-making.
Our lawful bases for using your information
Under the UK GDPR, the lawful bases we rely on are:
- Legitimate interests — to respond to enquiries from prospective customers and to run our business. We consider this is what you would reasonably expect when you contact us, and it does not override your rights.
- Contract — where you go on to instruct us, we use your information to take steps at your request before entering into a contract and to perform that contract.
- Legal obligation — where we have to keep records, for example for tax or accounting purposes.
Who we share it with
We do not sell your personal information and we do not share it for marketing purposes. Your information may be handled by the technology providers we use to run the business:
- Google (Google Workspace / Gmail) — our business email is provided by Google, so enquiries sent to us by email are processed and stored in our email account.
- Our website host — which serves the pages of this website, delivers enquiry form submissions to our email address, and may keep standard technical logs, such as IP addresses, for security and reliability.
We may also share information where we are required to do so by law, or with professional advisers such as our accountant where that is necessary.
How your enquiry reaches us
Enquiries submitted through this website are directed to info@tailoredbuildingsolutions.co.uk. Your enquiry is not stored in a customer database or a marketing system on this website; it is handled in our email account.
To protect the enquiry form from spam and misuse, our website host briefly processes your IP address and the time of your submission to limit how often the form can be used. This information is held only in short-term memory for the 10-minute rate-limiting window and is then discarded. It is not saved to any database, linked to your enquiry, or used for any other purpose.
How long we keep it
Where an enquiry does not lead to work, we keep it for 12 months from your last contact with us, and then delete it. Where we go on to do work for you, records relating to that work are kept for as long as we are required to keep them for tax and accounting purposes.
Where your information is held
Some of the providers we use, such as Google, are international organisations and may store or process information outside the United Kingdom. Where that happens, those transfers are covered by safeguards recognised under UK data protection law, such as the International Data Transfer Agreement or UK Addendum.
Your rights
Under data protection law you have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct information that is wrong or incomplete
- ask us to delete your information in certain circumstances
- ask us to restrict how we use your information
- object to our use of your information where we rely on legitimate interests
- ask us to transfer your information to another organisation in certain circumstances
You are not required to pay a fee to exercise these rights. We will respond within one month of receiving your request. To make a request, contact us using the details above.

Complaining to the Information Commissioner’s Office
